Pathway Support Administrative Assistant- Early Childhood Education Career Pathway Program

Job Responsibilities:
  • Assist in the recruitment of participants of ECE professionals in Battle Creek to the Early Childhood Recruitment and Retention program.
  • Provides exceptional level of customer service at all levels of the organization.
  • Assists in creating and maintaining positive relationships with participants, community partners and with recruitment resources, i.e. High Schools, Colleges, etc.
  • Participates in recruitment events and activities related to the program
  • Assists in managing and maintaining weekly recruitment logs capturing identified educational pathways which may result in an increased outreach to the variety of diverse populations to the early childhood profession as a career.
  • Responsible for tracking and entering data related to program requirements including applications, enrollment, and other participant information into the data system and/or designated intake system.* as needed
  • Completes a variety of computer and typing tasks that may include correspondence, lists, forms, tables, charts, and records. Proofreads, does lay-out, and edits draft and final copy materials for appropriate and consistent format, accuracy of financial figures and other data, and correct punctuation, spelling and grammar.*
  • Collects, enters, and summarizes data to support program.*
  • Produces reports as directed by the assigned HR director or Pathway Navigator.*
  • Assists Navigator in preparing materials for participants.
  • Responsible for other analyses and internal reviews as requested.*
  • Assists program by answering questions of participants, when appropriate. And directing to correct person, when appropriate.
  • Maintains confidentiality in all aspects of client, staff and agency information.
  • Comply with program and Agency policies and procedures.
  • Performs other duties as assigned.

Other Knowledge, Skills, and Abilities:  

  • Ability to maintain satisfactory working relationships with the public, departmental supervisors and staff
  • Excellent organizational skills and the ability to work with detailed data.
  • Must be able to work under pressure to meet critical deadlines.
  • Intermediate-level computer skills. Experience in the Agency's Windows based software programs.  Broad experience with Microsoft Word and Excel is required.  Experience with Outlook and PowerPoint desired.  Child Plus experience preferred.
  • Knowledge and experience of the operation of a multi-line telephone system is required.
  • Must be able to maintain consistent and regular attendance and punctuality based on designated work schedule.
  • Ability to work with diverse populations.
  • Professionalism, sound judgement, discretion and harmonious working relationships with the public, community partners and community members.
  • Ability to demonstrate knowledge in child development and the early childhood profession.
  • Ability to motivate and mentor/coach people.

 

 


Physical Requirements:

PHYSICAL REQUIREMENTS

Regularly required to sit, to use hands to finger, handle, or feel, and talk or hear. Frequently required to reach with hands and arms. Occasionally required to stand, bend, and walk. Must be able to frequently stretch, bend, stoop, kneel, walk and occasionally lift and/or a move up to 70 pounds. Have ability to climb up and down stairs. Specific vision abilities required by this job include close, distance, and peripheral vision, depth perception and ability to adjust focus.

 


Qualifications & Education:

Education:  High school diploma or GED required and one to two years of college in field of Early Childhood or general studies. Knowledge of the Child Development Associate (CDA) preferred. Relevant work experience would be considered in combination or in-lieu of the educational requirement.

Experience:  Experience in CDA process and portfolio.
